What Proactive Outbound Is

Proactive outbound lets your AI receptionist make follow-up calls automatically — without you lifting a finger. Your AI calls leads and customers at the right time based on rules you set.

Lead Follow-Up

Automatically call back leads who enquired but did not book.

Quote Follow-Up

Chase up customers who received a quote but have not responded.

Satisfaction Check

Call customers after an appointment to check they are happy.

How to Enable It

Go to Automations

Click Automations in the left sidebar.

Find Proactive Outbound

Look for the Proactive Outbound card.

Toggle it on

Switch the toggle to enabled.

Configure your rules

Set the timing for each follow-up type:
  • Lead follow-up — call after N days if no booking made (default: 2 days)
  • Quote follow-up — call after N days if no response to quote (default: 3 days)
  • Satisfaction check — call N days after a completed appointment (default: 1 day)

Save

Click Save. Your AI will start making follow-up calls based on your rules.

Safety Guardrails

Proactive outbound has built-in limits to protect your reputation and your plan minutes:

Calling hoursBusiness hours only — never early morning or late night
Minutes usedCounts toward your included plan minutes
Duplicate preventionA contact will not be called for the same reason twice
Outbound calls use your included plan minutes. If you are close to your limit, disable proactive outbound or increase your plan to avoid overages.

What the AI Says

Your AI uses the context of why it is calling:
  • Lead follow-up: “Hi, I’m calling from [Business Name]. You enquired about [service] recently and I wanted to check if you’d like to go ahead and book.”
  • Quote follow-up: “Hi, I’m calling from [Business Name]. We sent you a quote for [service] and I wanted to see if you had any questions.”
  • Satisfaction check: “Hi, I’m calling from [Business Name]. You had an appointment with us recently and I just wanted to check everything went well.”
The AI then has a natural conversation, can answer questions, and book follow-up appointments if needed.
Satisfaction check calls are a great way to get Google reviews. If the customer says they are happy, the AI can ask them to leave a review.

Viewing Results

All outbound calls appear in your Call History with an “Outbound” label. You can see:
  • Which automation triggered the call
  • Whether the customer answered
  • The call transcript and outcome
  • Any appointments or leads created from the follow-up
