Your Lead Board is where you track every person who calls your business. Think of it as a visual pipeline showing exactly where each potential customer stands — from the moment your AI receptionist captures their details to the moment you win (or lose) the job.

Board View vs Table View

You have two ways to look at your leads. Switch between them using the toggle at the top of the page.

Board View

Drag-and-drop columns. Perfect for a quick visual overview of your pipeline. Great on desktop.

Table View

Searchable, sortable list. Better for finding specific leads or working through a long list. Great on mobile.

The Five Columns

Every lead sits in one of five columns. Drag a lead card from one column to the next as you work with them.

Temperature Badges

Your AI receptionist scores every lead automatically based on the call. You’ll see a coloured badge on each lead card.
BadgeTemperatureWhat It Means
🔴 HOT80-100Ready to buy now. Call them back immediately.
🟠 WARM60-79Interested but needs a nudge. Follow up today.
🟡 COOL40-59Might be shopping around. Worth a follow-up this week.
🔵 COLD0-39Low intent or just asking questions. Check in later.
Focus your time on HOT and WARM leads first. These are the people most likely to book right now. A quick callback within 5 minutes can double your conversion rate.

How Lead Scoring Works

The AI looks at 7 factors from the call to calculate each lead’s score:
  1. Urgency — Did they say “emergency,” “ASAP,” or “today”? Higher urgency = higher score.
  2. Service match — Does the service they need match what you offer?
  3. Budget signals — Did they ask about pricing without flinching, or are they price-shopping?
  4. Timeline — Do they want something done this week or “sometime next year”?
  5. Decision authority — Are they the homeowner/decision-maker, or calling on someone else’s behalf?
  6. Contact completeness — Did they provide their name, phone, email, and address?
  7. Engagement — How long was the call? Did they ask detailed questions?
Lead scores update automatically. You never need to calculate anything yourself. The AI does it all during the call.

Using Table View

Switch to Table View when you need to:
  • Search — Type a name, phone number, or service into the search bar to find a specific lead instantly.
  • Sort — Click any column header (Name, Date, Temperature, Status) to sort ascending or descending.
  • Filter — Use the status dropdown to show only New leads, only HOT leads, or any combination.
  • Bulk actions — Select multiple leads using the checkboxes to move them all to a new status at once.

Quick Actions on Each Lead

Tips for Managing Your Board

At minimum, check it every morning and every evening. HOT leads should be contacted within 5 minutes if possible — businesses that call back within 5 minutes are 21x more likely to win the job.
The AI recognises returning callers automatically. Their existing lead card gets updated with the new call details rather than creating a duplicate.
Yes. Click the + New Lead button at the top of the board to create a lead by hand — useful for walk-ins, website enquiries, or referrals that didn’t come through a phone call.
Open the lead detail panel and click Delete at the bottom. This is permanent and cannot be undone. If you just lost the job, move the lead to the Lost column instead — that way you keep the history.
